Full-time Administrative Assistant

Job Description

Position Summary:
• The Administrative Assistant provides administrative support to the Principal, Assistant Principal, and MBCI’s Board of Directors.

Committee Participation:
• Office Meetings as needed

Duties and Responsibilities:

1. Responsible for any duties related to the activities of the Board of Directors and Board Committees.
• Send out meeting invitations and manage attendance of members
• Distribute reports, agendas, minutes of meetings, etc.
• Assemble the information provided and prepare reports for the Annual General Meeting

2. Substitutes
• Responsible for booking substitutes daily as needed.
• Responsible for providing sub plans for the day
• Confirm with all teachers that sub binders are in place

3. Reception

4. Alongside the Guidance Counsellor and Assistant Principal:
• Prepare the comments for the graduation ceremony regarding individual graduates.
• Order and prepare graduation forms, diplomas and graduation awards.
• Prepare academic awards and certificates for grades 6-12.

5. Alongside the Assistant Principal:
• Prepare memos and documents relating to school activities for teachers/staff
• Prepare examination schedules and supervision
• Place textbook orders for Departments
• Schedule picture day, immunizations, student event bookings and details

6. Alongside the Principal:
• Prepare the school calendar
• Prepare the staff handbook
• Prepare letters of reference and teacher contracts
• Prepare memos and documents relating to school activities for teachers/staff
• Write communications as needed for staff, parents, students
• Schedule meetings
• Manage teacher timetables, staff address information, phone extension list, teacher by subject/grade list

7. Prepare and manage supervisions.

8. Prepare and submit minutes from the Workplace Health and Safety Committee.

9. Support to other departments as needed.

Professional Growth:
• Attend PD seminar each year.

Qualifications:
• Proficiency in Microsoft Office
• Experience in the use of Edsby, Trevlac or equivalent
• Education or experience in office/business/education administration
