The Canadian Conference of Mennonite Brethren Churches (CCMBC) is seeking an Executive Assistant to support our team in serving our family of agencies, provinces, and churches.
We’re looking for a highly organized, detail-oriented individual with a servant’s heart, a positive attitude, and a prayerful approach to ministry. The ideal candidate will have a working knowledge of our denomination and enjoy collaborating with leaders, board members, and staff.
The Executive Assistant is a 0.8 position (32 hours/week) that provides administrative support to the National Director. Included is administrative support to the CCMBC Executive Board, the National Ministry Team, the National Faith and Life Team, and CCMBC events. The Executive Assistant reports to the National Director.
Key Responsibilities
- National Director: Responsible for all aspects of the National Director’s professional administration needs. This includes scheduling (booking appointments, integrating work and personal calendars, and tracking personal time), making travel arrangements, recording expenses, managing correspondence and reports for teams and agencies, and planning events as needed.
- Executive Board: Responsible to the Executive Board for document preparation, logistics and travel management (hotel, meals, flights, etc.), and minute-taking at meetings.
- National Faith and Life Team: Responsible to the National Faith and Life Team (NFLT) for the same tasks before and during meetings as mentioned under Executive Board.
- National Ministry Team: Responsible to the National Ministry Team (NMT) for the same tasks before and during meetings as mentioned under Executive Board and National Faith and Life Team.
- Leadership Development Partnership Grant: Administer the Leadership Development Partnership Grant in partnership with MB Seminary. Responsible for receiving, processing, requesting funding, and maintaining student applications.
Expectations of Responsibilities
Work to be completed promptly with excellence. Professionalism in appearance and interaction with others. Ability to travel required (4-6 times/year).
Professional/Technical Background
Administrative experience and proficiency in Microsoft Word. (Previous knowledge of Survey Monkey, Eventbrite, and Excel is an asset, but training could be provided.)
Skills and Attributes
Strong written and verbal communication skills, time-management and organizational abilities, flexibility, problem-solving expertise, investigative initiative, leadership and management abilities, and a teamwork ethic. (The executive assistant will work in collaboration with people in other provinces.) This person must be able to work independently. A knowledge of Mennonite Brethren culture is desired.
The individual must be capable of discerning confidential and political matters within the conference. The individual must affirm and uphold the MB Confession of Faith and sign the Code of Personal and Ministry Ethics for CCMBC Employees (Appendix 17 of Employee Manual) and CCMBC Staff Operating Covenant (Appendix 18 of Employee Manual).
