Part-time Accounts Receivable Clerk

Job Description

As part of the expansion and reorganization of the CMU Finance Department, CMU is currently accepting applications for Accounts Receivable Clerk.

Reporting to the Director of Finance this newly developed Accounts Receivable Clerk takes primary responsibility for processing accounts receivable, including generating student fees, preparing and sending customer invoices, posting payments to student and customer accounts, preparing and filing deposit journal entries, preparing reports on unpaid accounts, following up efforts to collect amounts receivable, and reconciling cash receipts and deposits. This role is important in ensuring the completeness and accuracy of accounting data created in the revenue cycle. The Accounts Receivable Clerk serves as a liaison and source of information and support to the many revenue-generating areas of the university in ensuring that revenues are appropriately billed, recorded and received. In addition, the Accounts Receivable Clerk provides other clerical and administrative support to the Finance department as assigned. This position is shared with another Accounts Receivable Clerk.


Accounts Receivable

  • Process student fees by generating system billings daily
  • Set up and maintain student payment plans
  • Process customer invoices by preparing invoices according to supporting documentation provided by revenue-generating units of the university
  • Attend the opening of the mail completed by the A/P Clerk and verify the deposit listing
  • Record revenues for all payments received by the university and apply payments to accounts
  • Record petty cash expenses and reconcile reports to the general ledger
  • Ensure appropriate application of all relevant taxes (GST, PST, accommodation tax)
  • Perform revenue reconciliations to ensure revenue recorded agrees to activity reports
  • Assist in collection of overdue accounts

Department support

  • Liaise with Registrar’s Office to provide support in respect of student holds and refunds
  • Liaise with Student Aid to provide support in respect of student awards in the case of default
  • Liaise with Hosting to provide support in respect of invoicing, taxes, and customer balances
  • Provide invoicing support to other revenue-generating units (e.g. Hosting, Leases, Food Services, Folio CafĂ©, Mennonite Archives and Gallery, Centre for Resilience, Canadian School of Peacebuilding, Community School of Music and the Arts)
  • Assist the Finance department in the implementation of relevant policies and procedures

Other duties

  • Set up accounts payable vendors
  • Provide back-up for mail and reception service


  • A commitment to the Christian faith, the church, and the mission of CMU
  • 5+ years of previous experience in a related position
  • Education in accounting or business administration considered an asset
  • Demonstrated ability to accurately calculate, enter, and correct accounting information
  • Experience in gathering data, compiling accurate information, and preparing financial reports
  • Excellent proficiency with accounting and spreadsheet software
  • Strong attention to detail and a demonstrated capacity to maintain an efficient workflow
  • Effective communication skills
