Part-time Human Resources Coordinator

Job Description

The Human Resource Coordinator, working closely with the Director of Human Resources, is responsible for recruitment, onboarding, payroll coordination and backup for related payroll functions for faculty, sessionals, staff, and students employed on campus. Benefits coordination includes accurate benefits enrollment along with communicating directly with salaried faculty and staff regarding pension and benefits coverage and payroll deductions.

The successful candidate will have a positive attitude and an enthusiasm for human resource functions, problem solving and enjoy the challenges of working on HR related projects.  This position has the potential to contribute to the professional HR experience component of the CPHR designation.

This is a newly created position and the changing needs of the organization and human resource services will continue to develop and influence the scope of this position. Other responsibilities may be added or changed upon consultation with the incumbent and the Director of Human Resources.



  • Coordinate end-to-end recruitment & selection processes
    • Implement recruiting plans and strategies to secure qualified long term candidates
    • Work with the hiring manager to develop job postings, advertising and post positions
    • Receive applications and respond to inquiries
    • Work with the hiring manager to evaluate applications, develop relevant interview questions, do initial applicant screening, and set up the interviews with the candidate and hiring committee
    • Inform hiring committee of best practices for interviews
    • Complete reference and background checks
    • Write letters of offer and notify unsuccessful applicants
    • Complete reports on employment activity
    • Arrange for recruitment advertising with Communications and prepare payment requisitions for advertising


  • Prepare new hire packages and recommends improvement for orientation documents
  • New employee payroll and benefits enrollment and orientation
  • Coordinate required learning for accessibility, safety and harassment and record in a Learning Management Database
  • Review Personnel Policies with new hires
  • Assist with new hire announcement, tour and welcome event
  • Work with Student life regarding the student employment program
  • Summer student orientation including workplace safety and workplace harassment
  • Coordinate with Outtatown’s site leader orientation regarding benefits and payroll


  • Coordinate the exit checklist with IT, Operations and C&M and ensure the return of access and equipment
  • Ensure the employee is aware of termination of benefits claims
  • Inform the employee of pension transfers and continuation in the plan


  • Have a strong understanding of the CMU payroll system and be able to trouble shoot as required
  • Will be the backup for payroll processing as required due to vacation or absence of the Payroll Coordinator
  • Create approval documents for payroll functions and coordinate CMU’s semimonthly payroll processing with the Accounting and Payroll Coordinator for faculty, staff, and students employed on campus
  • Collaborate with the Payroll Coordinator to improve payroll workflow and the creation of improved documents
  • Coordinate sessional and contract faculty payments with the Academic Office and ensure sessional contracts have all of the required supporting documents
  • Communicate directly to employees regarding changes to payroll information and benefit changes
  • Ensure attendance/ vacation accrual records are up to date and provide guidance and support directly to inquiries from supervisors and employees regarding vacation and sick time benefits
  • Maintain confidential employee files as it pertains to all active employees, new hires, terminations, salaries, leave of absences etc.
  • Work with and provide back up to the Payroll Coordinator regarding:
    • Month end and year end payroll related reporting
    • Remittances to Workers Compensation Board and Manitoba Payroll Tax
    • Reconciliations for WCB, payroll tax, and year end reporting
    • Remittances for employee benefits and pension
  • Maintain, reconcile and update employee salary and benefit records

Human Resources

  • Assist the Director of HR with a variety of projects related to HR and legislative requirements
  • Will work with the Director of HR and department heads to review and update organizational job description and ensure that the language and descriptions of responsibilities align with the CMU Job Family and Job Classification System
  • Communicate directly with employees and students to resolve moderately complex and sometimes difficult and confidential issues regarding both payroll and benefits inquiries
  • Respond to inquiries about Personnel Policies
  • Compile institutional and statistical reports as required internally and as required for Statistics Canada
  • Coordinate ordering of business cards and name tags
  • Coordinate the production of the Faculty and Staff Directory
  • Provide administrative support including confidential filing
  • May be required to be flexible with days worked during critical work related deadlines


  • A commitment to the Christian church and CMU’s mission, purposes and programs
  • An undergraduate degree in a relevant discipline, a Human Resource Diploma or a combination of education and experience
  • 3 – 5 years of experience working in an HR role or a combination of education and experience
  • Recruitment experience is required
  • CPHR is desirable or a career path leading up to obtaining the CPHR designation
  • Strong understanding of Manitoba Employment Standards and the Manitoba Human Rights Code
  • Strong judgment and problem solving skills within a broad spectrum of HR functions and issues
  • Experience and/or practical exposure/education of payroll processing
  • Strong understanding and/or practical exposure/education of pension and benefits
  • Strong organizational and administrative skills and ability to manage multiple projects at the same time
  • You have a service oriented mentality who enjoys building strong and trusting relationships with others
  • You have strong and clear written and oral communication skills
  • Strong Microsoft Office Suite skills
