Job Description

Office Administrator Skills and Responsibilities:  

Provide high-level administrative support by handling information requests, and performing clerical functions such as preparing correspondence, receiving visitors, scheduling meetings & assisting in database management.

Office Administrator Duties and Responsibilities

  • Answering phone inquiries, directing calls, and providing basic organizational information
  • Comfortable performing clerical duties, maintaining files, and organizing documents. Photocopying, faxing, collating, etc., as needed
  • Arranges travel, accommodation, itineraries, and all correspondence related to ministry activities as needed
  • Manages pastoral schedules and acts as liaison for pastoral team
  • Prepares reports, presentations, and data, as well as maintaining files, records, and correspondence for meetings
  • Prepares information and research for pastoral needs
  • Participates in Staff & Board level meetings, ability to handle confidential information
  • Able to organize and manage large amounts of files, tasks, schedules, and information
  • Self-directed and able to work without supervision
  • Energetic and eager to tackle new projects and ideas
  • Comfortable in both a leadership and a team-player role, manages team members, leads assistant meetings, and supervises when needed

Office Administrator Requirements and Qualifications:

  • Three to five years’ prior experience in mid- to senior-level administration, business, management, or related field
  • Proficient computer skills w/ Apple or PC systems, including Microsoft Office Suite (Word, PowerPoint, and Excel); scheduling appointments/updating calendars a must.
  • Interest in learning or expanding current technical skills 
  • Excellent written and verbal communication skills
  • Ability to multitask
  • Excellent time management and prioritization skills
  • Ability in Podcasting, Blogs, Video Content, Website Updates would be an asset.
  • Valid driver’s license and safe driving record preferred
